What is İKYS?

İKYS stands for İnsan Kaynakları Yönetim Sistemi, or Human Resources Management System. It manages employee records and processes such as recruiting, personnel files, leave, working time, payroll preparation, performance and reporting on a shared data model. Its purpose is a single, auditable employee lifecycle record—not merely digital forms.

What does an İKYS cover?

A core İKYS keeps employee profiles, organizational structure, positions and personnel documents as the system of record. Recruiting and onboarding, leave, time tracking, payroll inputs, employee requests, policies and reporting operate around that record.

Products do not provide every module at the same depth. Some focus on personnel and leave, some on payroll, and others on talent management. Define which workflows must share one record before asking whether a vendor's product qualifies as an İKYS.

HRIS, HRMS, ATS and payroll

In English, HRIS often emphasizes the core employee information system while HRMS suggests a broader process suite, although the terms overlap in everyday use. In Turkey, İKYS and İK yazılımı, meaning HR software, are also commonly used in a similarly broad sense.

An ATS focuses on applicants and recruiting, while payroll software focuses on pay calculations and statutory outputs. An integrated İKYS may include those modules or exchange data with specialist systems, but an ATS or payroll application alone is not necessarily a complete HR management system.

How to choose the right system

Measure repetitive work and error risk first: how many files hold employee data, where approvals disappear, how often payroll data is recollected, and who has access? Build the shortlist around those real workflows rather than treating the longest feature grid as the best product.

Test multi-company and branch support, role-based access, KVKK workflows, audit history, data export, integrations, local compliance and total cost. During a demo, run your own joiner, leave and leaver scenarios end to end instead of watching isolated feature presentations.

Data and ownership during implementation

Clean employee, unit, position and document data before migration, then assign an owner, update event and access role to each field. The İKYS becomes the system of record only when teams stop maintaining old spreadsheets as a parallel source of truth.

Frequently asked

İKYS stands for İnsan Kaynakları Yönetim Sistemi, the Turkish term for a Human Resources Management System. It manages employee data and HR processes from recruiting through offboarding.

The terms are often used interchangeably. İKYS usually emphasizes a system that unifies several HR processes around the employee record, while a single-purpose HR tool may have a narrower scope.

Common modules include employee and personnel records, organization, recruiting, onboarding, leave, time tracking, payroll preparation, performance, documents, employee requests and reporting. Scope varies by product.

A small team can benefit when employee data is spread across spreadsheets, email and folders. The system creates value when recurring processes, error risk and recordkeeping needs emerge, not only after the company reaches a particular headcount.
